Privacy Policy

This policy covers the personal information you give us through the forms on this website, and what we do with it. It is written to be read, not to be skipped.

Who we are

TopMark Tutors is a private tutoring business operating in Adelaide, South Australia. This policy explains what personal information we collect through topmarktutors.com.au, why we collect it, who we share it with and how you can access, correct or delete it.

We handle personal information in line with the Australian Privacy Principles under the Privacy Act 1988 (Cth). If you have a question about anything in this policy, email Topmarktutors99@gmail.com or call 0450 113 766.

What we collect

We only collect what our forms ask for. Depending on which form you use, that is:

  • Your name, and on the Crash Course booking form, the student's first name and the parent or guardian's name
  • Email address and phone number
  • Year level and subjects the student needs help with
  • Anything you write in the message field
  • On the Crash Course form only: the package selected, whether you would like to discuss payment options, and any promo code or referral source

We do not collect or store payment card details anywhere on this site. Crash Course payments are made by bank transfer directly to our account, and invoices are issued by email.

Like most websites, we also receive standard technical information when you visit, such as your browser type, approximate location and the pages you view.

Why we collect it

  • To reply to your enquiry and arrange tutoring or a Crash Course place
  • To send the free SACE guide when you request it, along with Crash Course dates and availability. Every one of those emails has an unsubscribe link
  • To issue invoices and confirm bookings
  • To understand which pages and ads bring people to the site, so we spend our advertising budget sensibly

We do not sell your personal information, and we do not share it with other tutoring businesses.

Who we share it with

Your information is handled by a small number of service providers who help us run the site:

  • Web3Forms delivers our website form submissions to our email inbox
  • GitHub Pages hosts this website and keeps standard server logs
  • Meta Platforms (Facebook and Instagram) receives advertising measurement data as described in the next section

We may also disclose information where the law requires it.

Advertising, cookies and the Meta Pixel

We advertise on Facebook and Instagram. To measure whether those ads actually produce enquiries, this site uses the Meta Pixel, a small piece of code that records page views and form submissions and sends them to Meta.

When you submit a form, the Pixel also sends Meta a hashed version of the contact details you entered, so Meta can tell whether the person who enquired is someone who saw one of our ads. Hashing scrambles the values before they leave your browser: Meta receives a fingerprint, not your readable email address or phone number. Where a form asks for both a student and a parent name, we send the parent's details, never the student's.

You can limit this. Your ad settings inside Facebook and Instagram control how Meta uses activity from other websites, and your browser settings let you block or delete cookies. Blocking them will not stop you using this site or its forms.

Students under 18

Most of our students are school students, and many are under 18. If you are under 18, please ask a parent or guardian before sending us your details. Where a form asks for a parent or guardian's contact details, we use those as the main point of contact.

We do not knowingly collect personal information from children under 13. If you believe a child under 13 has given us their details, email us and we will delete them.

How long we keep it

Enquiry and booking records are kept while you are a client and for a reasonable period afterwards, so we can answer questions about past tutoring and meet our tax and record keeping obligations. If you ask us to delete your information and we are not required to keep it, we will.

Your rights

You can ask us at any time to:

  • Tell you what personal information we hold about you
  • Correct anything that is wrong or out of date
  • Delete your information, where we are not required to keep it
  • Stop sending you marketing emails

If you are unhappy with how we have handled your information, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au.

Security

This site is served over HTTPS, so information you type into our forms is encrypted in transit. No system is perfectly secure, but we keep access to enquiry records limited to the people who need it to run the business.

Changes to this policy

If we change how we handle personal information, we will update this page and change the date below. Material changes will be noted at the top of the page.
